Refund & Cancellation Policy
Effective July 13, 2026. Applies to oversize/overweight permit filing in Texas, Ohio, and Florida.
Your card is authorized (held), not charged, when you place your order. We capture payment only once we've confirmed we can file. This policy explains exactly when we charge, when we void the hold, and what is and isn't refundable after we submit.
Plain-English summary
Your card is authorized (held), not charged, when you place your order. We only capture (actually charge) your card once we've confirmed we can file your permit. If we can't file (because your deadline can't be met, the state portal is down, or we determine after review that we can't complete the filing), we void the authorization and you pay nothing. No charge, no refund needed, because no charge happened.
How auth-then-capture works here
At checkout, we place an authorization hold on your card for $75 plus the estimated state fee. This is not a charge; depending on your bank it may appear as pending and will drop off automatically if never captured (typically 5 to 7 business days per card-network rules).
Before capture, we confirm: your load/route data is complete and internally consistent; the state portal is operational and accepting filings; and we can meet any deadline you disclosed (or, if we cannot, we contact you before proceeding).
We capture your card only when we submit your filing to the state portal, or immediately before submission once we've confirmed the above. The captured amount is our $75 flat fee plus the state permit fee at the exact amount the state charges. If we cannot proceed for any reason on our side, we void the authorization instead of capturing, and you pay nothing.
Full void, no charge, when
We determine, before submission, that we cannot complete the filing (a required state-specific document or escort arrangement is missing and you can't supply it in time, or the load requires a permit type we don't yet support).
We cannot meet a deadline you explicitly disclosed at checkout, and you choose not to proceed with a later timeline.
The state portal is down or otherwise non-functional such that we cannot submit before your stated deadline.
You cancel before we submit to the state: full void, no charge, no questions asked, as long as submission hasn't happened yet.
After submission: what's refundable and what isn't
Our $75 service fee is refundable if the state rejects the filing due to our error (we entered your data into the portal incorrectly relative to what you submitted, or we submitted to the wrong state/portal).
Our $75 service fee is NOT refundable if the state rejects, delays, or requires resubmission because the load/route data you provided was inaccurate, incomplete, or changed after submission. You're welcome to resubmit as a new order.
The state permit fee is the state's money, not ours, from the moment we submit. Most state DOT portals treat submission fees as non-refundable once submitted, regardless of outcome. Once we submit your permit, the state's fee is generally non-refundable even if the state later rejects the application due to inaccurate load data. Please double-check your dimensions and weight before confirming.
Fee true-up
If the state portal calculates a final fee different from our pre-checkout estimate (common when fees are formula-based on exact axle weights or route miles), we capture the correct, final state-calculated amount, and we tell you the final number before capturing if it differs by more than a token amount from the estimate you approved. We never capture more than the authorized hold without your affirmative approval of the new total.
Chargebacks
If you dispute a charge with your card issuer instead of contacting us first, we will respond with the timestamped record of your data submission, our confirmation communications, and the state portal's submission receipt. We'd rather resolve it directly: contact support@haulpermit.com first and we will typically resolve within one business day.
No fake urgency, no fake countdown
We do not use countdown timers, "X people are viewing this," or artificial scarcity messaging on this checkout flow. If a deadline is tight, it's because your disclosed haul date is tight, not manufactured pressure.
